User Group Descriptions and Costs

 

Who can rent the facility?

There are 3 standard classifications of users:

  • OSD-sponsored groups
  • Community groups (non-profit)
  • Commercial groups (for-profit)

What is included?

All PAC rentals have access to the facilities within the PAC and basic technical services. Personnel including a manager and one or more technical crew may be required depending on the needs of your event. Pricing reflects a minimum of two staff consisting of the PAC Manager or Lead Staff Person and one additional crew member consisting of an adult or student technical worker. Additional staffing needs or special items requiring additional staff set-up and operation time will incur charges for items such as prop rental, audio/lighting, stage set-up, rigging, and any other special needs.

Rental of the Lecture Hall is designated as a “Room Only” space and charges for renting this space with up to 133 seats are as shown.

Lighting (light console, spotlights, preprogrammed submasters)
Audio Mics(4 cabled dynamic mics, 3 boom mic stands, 4 straight mic stands)
Speakers (Permanent PA system)
Playback (2 CD Players, 1 cassette player)
Misc. (75 ft snake, 12 channel, Clear-Com headsets, Mic cables and clips)
Projection (Front projection screen 30’x20’ downstage in existing position with booth or stage computer accessibility through VGA or HDMI connections (PC or MAC))
Rigging (Existing draperies and masking: main, legs, borders, cyclorama, travelers)
Stage Equipment (Lectern w wireless mic and light, 2 folding tables 6’, 1 rack of 16 stacking chairs)

Shop only rental is $75/day + a $40 cleaning fee for non-profit and for-profit groups
OSD-sponsored groups shop rental is $50/day + a $40 cleaning fee
Booking fees are non-refundable in the event of cancelation.
Custodial fees are determined by time of day, day of week, and hours needed to clean after the event and are added to the final charges.
Use of the Commons or areas outside of the PAC require separate application and approval at additional cost.

 

OSD-Sponsored Event:

To qualify as an OSD-Sponsored event, All of the following criteria must be met:

  • All funds raised will go directly to the Olympia School District or OSD programs
  • Event costs will be paid by OSD departments, clubs, etc.
  • Non-public events (staff meetings, conferences, seminars, competitions, bargaining group meetings, staff development, etc.) are for the exclusive benefit of OSD students and/or staff.

Examples of OSD-sponsored events:

  • OSD staff development activities.
  • OSD fundraising activities. Scholarship fundraising by a non-profit organization does not qualify.
  • Class or school-based curricular activities (i.e., music concerts, class films, etc.). Inpidual activities such as culminating projects, recitals, etc. do not qualify.
  • ASB-sponsored activities that raise funds for sanctioned OSD/ASB programs
  • OSD or ASB-sponsored activities that provide a public service or community education purpose at no cost to the audience (i.e., informational forums, board meetings, etc.).
 

Community user groups (Non-profit)

Non-profit groups will pay for facility use as well as event technical personnel. There is a booking fee for each non-consecutive day, and an additional custodian will be required on weekends and holidays, and may be required during the day during vacation times.

 

Commercial/Private/For-profit user groups

Private and for-profit groups will pay for facility use as well as event technical personnel. There is a booking fee for each non-consecutive day, and an additional custodian will be required on weekends and holidays, and may be required during vacation times.

 

What cost variables are there?

Complex technical set-ups will cost significantly more because they require more time and/or more personnel which may need to be hired for the production and at greater expense. This includes the use of wireless microphones, audio monitors, and multiple-microphone set-ups; video; custom lighting and/or rigging needs.
